Why Imaging?
An invoice (change order, work order, or other important document) arrives in the mail. Your office staff copies it Files it. Routes it. Faxes it. The invoice gets approved. Retrieved. Processed. Re-filed. Your staff repeats this process dozens of times during the normal course of a normal day. And finally the ultimate question; Do we have a signed copy?
What should I scan?
Scan the Documents that are important to your Company (i.e. AP Invoices, Human Resources Documents, Field Work Orders). Retrieve, print and share the documents across your network.
What Does it Cost?
Ten gigabytes (GB) of document imaging storage capability replaces approximately 16 four-drawer filing cabinets if the documents are scanned at 200 dpi, or 9 four-drawer filing cabinets if scanned at 300 dpi. A 10 GB Hard Drive fits under a desk. Where would you put 16 tall filing cabinets.
(Assumptions: A typical file four-drawer file cabinet holds 160 pages per inch, or 15,360 pages when full, and 200 dpi = 40k of data per page; 300 dpi = 75k per page.
Imaging gives you greater filing capacity at lower cost. A 36 GB SCSI Hard Drive costs $200 or less than $6 per GB, a fraction of the cost of a filing cabinet. Of course add the value of the office space that the cabinet occupies, the cost of the paper that fills it and don’t forget the time to file, search, re-file, etc. the savings really add up.
